Summary

Position overview:

This role provides administrative support and help to ensure smooth day-to-day operations of the office. This is a temporary 3-month opportunity.

Resposibilities:

  • Assisting the manager / team with administrative work including property administration.
  • Answering the phone.
  • Receiving, sending, and distributing mail on a daily basis.
  • Arrange for courier.
  • Set up meetings.
  • Greet tenants and visitors.
  • Create memos and other internal communication.
  • Maintain the kitchen area and purchase perishable supplies.
  • General filing and maintenance of files.
  • Purchase office supplies as required.
  • Management of the access card process for all staff and Tenants within the building.
  • Coordination of building access, service elevator and loading dock along with notification to Security and relevant building staff.
  • Distribution of all Tenant notices.
  • Management of the on-site parking for contractors issuing.
  • Collection of all rent cheques, and prepare and organize for processing.
  • Management of the insurance certificate and WSIB requirements for all Contractors and Tenants including tracing through Angus Anywhere and JDE.
  • Management of all contact information for Retail, Office and Residential Tenants, and RioCan Staff ensuring it is kept current and accurate.
  • Pest Control – providing all communication for pest control and ensure all emergency situations are handled in a timely manner by the contractor.
  • Provide back-up for in-house Tenant Conference Centre.
  • Organize and coordinate all Tenant signage within the office towers.
  • Coordinate tenant move ins and outs.
  • Assist with tenant events.
  • Other duties / projects as required.

Qualification Requirement:

  • Minimum 1 year experience in an administrative role
  • Excellent verbal and written communication skills
  • Proficient in Word, Excel and Outlook
  • Proven organizational skills and ability to meet deadlines
  • Detail-oriented
  • Strong customer service skills
  • Able to work both independently and as part of a team
  • JDE experience is an asset
